Privacy Policy

Foxwise is operated by AIRLIVNG LLC ("Foxwise", "we", "our", "us"). This Privacy Policy explains what information we collect when you visit our website or use the Foxwise application, why we collect it, how we protect it, and the choices you have.

Where you use Foxwise as part of an organization, that organization is the controller of the content in its workspace and we process it on their behalf under our agreement with them.

• Account data — name, email address, password hash or identity-provider identifier, workspace name, and role.
• Content — files, documents, website imports, connected-app data, prompts, and conversations you submit to your workspace.
• Billing data — plan, billing contact, and transaction records. Card details are handled by our payment processor; we never store full card numbers.
• Support and enquiries — messages you send through our contact form or by email.

When you use the service we log technical and usage information such as IP address, browser and device type, pages viewed, referring URL, timestamps, feature usage, error traces, and aggregate query volumes. We use essential cookies and similar technologies to keep you signed in and to protect the service; we use analytics sparingly and only in aggregate.

• to provide, operate, and maintain the service and your workspace;
• to index and process your content so it can be searched and answered against;
• to authenticate users and secure accounts against abuse and fraud;
• to provide support and respond to your requests;
• to improve reliability and performance using aggregated, de-identified telemetry;
• to process payments and administer subscriptions;
• to send service notices and, where you have opted in, product updates;
• to comply with legal obligations and enforce our terms.

To answer your questions, relevant excerpts of your content are sent to model providers that process them to generate a response. Providers act as our processors under contracts that prohibit using your content to train their models.

We do not use your content to train foundation models, and we do not share it with other customers. Embeddings and search indexes derived from your content are stored in your workspace and deleted with it.

Where the GDPR or UK GDPR applies, we rely on: performance of a contract (providing the service you signed up for); legitimate interests (securing the service, preventing abuse, improving reliability); consent (optional marketing communications and non-essential analytics); and legal obligation (tax, accounting, and lawful requests). You may withdraw consent at any time.

We do not sell your personal data and we do not share it for cross-context behavioural advertising. We disclose information only to:

• service providers acting on our instructions — cloud hosting, database and storage, model providers, email delivery, payment processing, and error monitoring;
• other members of your workspace, according to the permissions your administrator sets;
• third-party applications you explicitly connect, limited to what the integration requires;
• authorities where required by valid legal process, or to protect rights, safety, and the integrity of the service;
• an acquirer in connection with a merger, acquisition, or asset sale, subject to this policy.

We apply administrative, technical, and organizational safeguards including encryption in transit (TLS) and at rest, row-level security policies that scope data to your workspace, least-privilege access for staff, audit logging, and regular dependency and configuration reviews. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your personal data, we will notify you and any regulator as required by law.

We retain your content for as long as your workspace is active. When you delete a file or conversation, it and its derived indexes are removed from active systems promptly and purged from backups within our normal backup cycle. After account closure we delete or anonymize workspace data within 30 days, except where longer retention is required for legal, tax, or dispute-resolution purposes.

We are based in the United States and our providers may process data in the United States and other countries. Where personal data is transferred from the EEA, UK, or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses together with supplementary technical measures.

Depending on where you live, you may have the right to access, correct, delete, port, restrict, or object to the processing of your personal data, and to withdraw consent or opt out of marketing at any time. California residents may exercise rights under the CCPA/CPRA, including the right to know and delete, without discrimination.

To exercise a right, email support@foxwise.io. We will verify your request and respond within the period required by law. You may also lodge a complaint with your local supervisory authority.

Foxwise is not directed to children under 16 and we do not knowingly collect their personal data. If you believe a child has provided us with personal data, contact support@foxwise.io and we will delete it.

Our site and product may link to or connect with third-party services. Their handling of your data is governed by their own privacy policies, and we are not responsible for their practices. Review those policies before connecting an integration.

We may update this Privacy Policy as the product and applicable law evolve. The "last updated" date above always reflects the current version, and we will provide additional notice for material changes. Continued use of the service after the effective date means you accept the updated policy.
